Cancellation & Refund Policy

We understand that plans sometimes change. This policy sets out your rights and responsibilities when cancelling or rescheduling an appointment at BBY London Clinic. By booking a treatment, you agree to these terms.

1. Cancelling or Rescheduling an Appointment

We require a minimum of 48 hours’ notice to cancel or reschedule an appointment.

2. Late Cancellations (Less Than 48 Hours’ Notice)

If a deposit was taken at the time of booking, it will be forfeited in the event of a late cancellation.

3. No-Shows

Repeated no-shows may result in us requiring a non-refundable deposit for all future bookings, or in us declining to accept future appointments.

4. Arriving Late

We allow a 15-minute grace period for late arrivals. If you arrive more than 15 minutes late, we may need to shorten or reschedule your treatment to avoid impacting other clients. Please contact us if you are running late so we can do our best to accommodate you.

5. BBY London Clinic Cancellations

In the unlikely event that we need to cancel or reschedule your appointment (due to staff illness, equipment issues, or other circumstances beyond our control), we will notify you as soon as possible and offer you the next available appointment. No cancellation fee will be charged to you in these circumstances.

6. Treatment Courses and Packages

If you have purchased a course or package of treatments:

  • Sessions within a course are non-transferable to another person
  • Purchased courses are valid for 12 months from the date of purchase
  • Sessions unused after 12 months will expire without refund, unless failure to use was due to a medical reason
  • If you are unable to complete a course for medical reasons, please contact us with supporting documentation and we will review your situation individually

7. Refunds

Refunds will be issued in the following circumstances:

  • Where BBY London Clinic cancels your appointment and cannot offer an alternative within a reasonable timeframe
  • Where a treatment is found to be medically unsuitable for you during your consultation, prior to any treatment taking place

Refunds are not available for:

  • Completed treatments, regardless of the outcome or results
  • Sessions from courses or packages that you choose not to use
  • Late cancellations or no-shows

Where a refund is due, it will be processed to the original payment method within 14 calendar days.

8. Deposits

A non-refundable deposit may be required at the time of booking for certain treatments, courses, or packages. The deposit amount will be communicated to you at the time of booking and deducted from your total treatment cost. Deposits are forfeited if you cancel with less than 48 hours’ notice or fail to attend.
